Sample AUP language
If a district issued device is lost or stolen, the student or parent must notify the school technology office within 2 school days. Stolen devices require a police report filed within 5 days. The district will immediately disable the device through the school management system. Family financial responsibility follows the published lost and stolen fee schedule, with hardship waivers available through the school principal. Repeated loss may result in withdrawal of take-home privileges and a school-day-only device assignment.
Adapt the timelines and dollar amounts to your district. KBS will help you align the policy with your coverage plan.
5 things to do the day you discover a device is missing
- 1Disable the device in Google Admin or Jamf within the hour.
- 2Pull the last sign-in location and timestamp from your MDM.
- 3Notify the family in writing with the report timeline and contacts.
- 4If theft is suspected, walk the family through filing a police report.
- 5Log the incident in KBS HQ so the claim and any recovery follow the asset.
Frequently asked questions
What should families pay for a lost school device?+
Most districts cap family liability between $100 and $300 for a first lost device, with a hardship waiver for families on free and reduced lunch. The remainder is absorbed by district or by coverage.
Do we require a police report for stolen devices?+
Yes for any stolen device claim above $100. The report does two things: it protects the family from a charge if recovered, and it lets the district recover under coverage.
Does KBS Coverage include theft?+
Yes when reported with a police report. Lost without a report typically falls outside coverage. Districts can layer an internal fund for that gap.
What about a device left on the bus or in a public place?+
Treated as lost. Coverage rules depend on whether a police or transportation report was filed. KBS districts typically split the recovery cost between district and family for first incidents.
Can we remotely lock or wipe a missing device?+
Yes. Google Admin can disable the Chromebook within minutes. Jamf can lock and wipe iPads. The device becomes useless to a thief, which is your strongest deterrent.
