The 6-step claim process
Most parents complete this in under 10 minutes. The key is taking good photos and being specific.
- 1
Log into your parent dashboard
Go to your school's enrollment portal or kbscoverage.com and sign in with the email you used to enroll. If you forgot your password, use the reset link. It arrives in under a minute.
Pro tip: Bookmark the login page on your phone. Most claims are filed the same day the damage happens.
- 2
Select the damaged device
Find your student's device in the device list. Click 'File a claim' next to the correct Chromebook, iPad, or laptop. Make sure you pick the right serial number. Some families have multiple students or devices.
Pro tip: The serial number is usually on a sticker on the bottom of the device or inside the lid.
- 3
Describe what happened
Select the damage type from the dropdown (cracked screen, liquid spill, broken hinge, etc.) and write a brief description. Be honest and specific. 'Fell out of backpack in hallway' is better than 'it just broke.'
Pro tip: Include when it happened. Claims filed within a few days of the incident are approved faster than claims filed weeks later.
- 4
Upload photos of the damage
This is the most important step. Take 2 to 3 clear photos in good lighting: one showing the full device, one close-up of the damage, and one of any serial number or asset tag. Neutral backgrounds work best.
Pro tip: Turn on a lamp or face a window. Blurry or dark photos are the #1 reason claims get delayed.
- 5
Submit and wait for review
Submit the claim. A real human at KBS reviews it. Most are approved within 24 hours. If something is unclear, you will get an email asking for clarification, not a denial.
Pro tip: Check your spam folder if you do not hear back within 48 hours. Approval emails sometimes land there.
- 6
Return the device to school intake
Once approved, follow your school's process for device intake. Usually the school library or IT office. KBS coordinates pickup from there. Most repairs are completed and the device is back at school within 4 days.
Pro tip: Do not try to repair it yourself first. That can void the coverage for that specific incident.

Common mistakes that delay claims
- Waiting weeks to file. File within a few days for fastest approval.
- Blurry or dark photos. Use good lighting and a steady hand.
- Picking the wrong damage type. If unsure, pick the closest option and describe the full situation.
- Not including the serial number. It is required to match the claim to the correct device record.
- Trying to repair it first. Do not open the device or take it to a third-party shop before filing.
Frequently asked questions
What photos do I need to file a Chromebook claim?+
Take 2 to 3 clear photos: one showing the full device, one close-up of the damage, and one of any serial number or asset tag visible on the bottom or inside the lid. Good lighting and a neutral background help reviewers approve faster.
How long does a claim take to approve?+
Most claims are reviewed and approved within 24 hours during the school year. Complex cases (liquid damage, multiple issues) may take 48 hours while a technician confirms the scope.
Can I file a claim for pre-existing damage?+
No. Coverage only applies to damage that occurs after your enrollment is active. If the device was already broken before you enrolled, the claim will be denied. You can still get it repaired at the standard rate and then enroll for future coverage.
What if my child broke someone else's Chromebook?+
School device coverage applies to the device your student is assigned, not devices they damage belonging to others. The other student's family would file a claim on their own coverage plan. Some districts handle accidental inter-student damage differently, so check your school's policy.
Do I need to send the Chromebook somewhere?+
Usually no. Most districts handle device intake at the school library or IT office. KBS coordinates pickup from the school. In some cases, a prepaid shipping label is provided for remote districts.
What happens if the claim is denied?+
You will receive an email explaining why. Common reasons: pre-existing damage, intentional damage, loss or theft (if not covered by your plan), or incomplete information. You can appeal by providing additional documentation.
